Integration between Osiris and Brightspace

Brightspace uses information from Osiris for course creation, group creation, instructor enrollments, and student enrollments. This article explains which information the integration between Osiris and Brightspace transmits and when changes are reflected in Brightspace. Course visibility and access depend on this information.

For University College, the integration works slightly differently; this is explained in the section on custom courses and communities.

Courses

Courses form the foundation for organizing your courses in Brightspace. This is where students can find all the information, assignments, and other content from their instructor. For each course edition of a course in Osiris, a course is created in Brightspace through the integration. A course edition is determined by the academic year, starting block, course code, and full-time/part-time.

Starting June 1st, the course editions for the new academic year will be created in Brightspace. The courses in which you are enrolled will appear under a separate academic year group in the My Courses overview.

The integration only transfers finalized courses where the Course to LMS field is set to Yes in Osiris.

If an Osiris key user finalizes a course after June 1st and/or sets Course to LMS to Yes, the course will be created in Brightspace within a few minutes.

If a course is de-finalized in Osiris or Course to LMS is set to No, the course will be archived and will no longer be visible to instructors in Brightspace.

Groups

Brightspace offers instructors many options to organize their groups as desired within Brightspace. These options can be found here.

Sometimes it is desirable to adopt the group organization from Osiris. This can be done by setting Groups to LMS to Yes in the Course Format in Osiris. The group category, the number of groups, and the enrollments and withdrawals from the groups will be created in Brightspace within a few minutes. Changes will then also be propagated to Brightspace.

Please note that groups are always visible to enrolled students, and students can see and email group members. Groups cannot be hidden.

If the Groups to LMS field is set to No, changes will no longer be processed. The groups already created can still be used or deleted manually.

Instructors

All individuals added to the course in Osiris with the roles of instructor, instructor_no_res, contact person, course coordinator, and examiner automatically receive instructor access to the course editions in Brightspace. If someone no longer has a relevant role in the course, the instructor is unenrolled from Brightspace and loses access to the course editions. Changes in Osiris are processed within a few minutes.

Students

Students are automatically added to their Brightspace courses if they are enrolled in the course in Osiris. The same applies to groups in a course that are reused in Brightspace. Withdrawals and enrollments are processed almost immediately.

Integration for custom courses and communities

In some cases, the course editions in Osiris do not align well with the desired educational organization in Brightspace, or there are user groups that are not known in Osiris. If this is the case, please contact the faculty key user to discuss whether a custom course or community would be a better fit. The information in these courses is updated every 12 hours and can be reused in Osiris.

Custom courses can be found in the My Courses widget under the tab for the corresponding academic year. Communities can be found in the My Courses widget under the Communities tab.

University College uses this different integration for regular Osiris courses to include student pre-registrations.

This ensures that changes are processed every 12 hours. In addition, the decision to continue or cancel courses and groups is based on other information in Osiris. If you have any questions, please contact your key user.
